Using the Advanced Find function in 1Staff for Microsoft Dynamics CRM 2011 is a great way to separate data you want to see from the rest of your data in your CRM Database. It uses the query you define to filter the results that are found. Also, it can be used to prepare data to export to Microsoft Office, for example, to Microsoft Excel to make reports.
Today, we will be looking at how to perform an Advanced Find for Customer Accounts within the state of Illinois with 1Staff.
To get started, click on the Advanced Find button in the top toolbar within Microsoft Dynamics CRM 2011:
Now it is time to set up the query. Start the query by choosing which Record Type you want to look up under the Look for list (we will be looking up Accounts):
After you choose which Record Type you are going to search for
- Select which Field you want to perform the query search in (we selected Address 1: state/Province).
- Select the formula in which you want the query to search for (we selected Equals in order to match the text that we input).
- Input the text you want the query to find based on the Field and the formula that you selected (we chose “IL” for Illinois).
- When you are finished inputting your query, click on Results to process and bring up the results of your query.
Note: If you want to save the search query you created select Save As from the top toolbar. This way you can save time by using the Use Saved View option to quickly recreate the Query you have created previously.
-To further specify the results; you are able to set up multiple queries by clicking on the Select link to find exactly the records you are looking for.
You can edit which columns are displayed for the query results by selecting the Edit Columns icon in the toolbar. Here you can add and subtract which columns will be displayed for the query results which will help when exporting into Microsoft Office.
Exporting to Excel
Once you receive the results of your query you have the option of exporting them to Microsoft Excel. To do this, click on the Export Accounts button in the top toolbar. After you click, select whether you want a static worksheet with records from this page, a dynamic PivotTable, or a dynamic worksheet.
